How does GloPay actually work? Watch this demo video first!

In this guide, we will break down exactly how our platform functions behind the scenes. We have also embedded our official walkthrough video below so you can follow along visually. Read on or watch the video to see the four core steps to get your account fully configured, approved, and ready to send your very first compliant invoice.

Step 1: Sign Up and Account Setup

To get started, you’ll first sign up as a new user. Here are a few critical rules to keep in mind during registration:

  • Use your personal details: Always register using your personal name and a reliable personal email address. Make sure it’s an address you will have access to now and well into the future, as our team will use it to email you updates regarding confirmation, data completion, or required modifications.

  • Individuals only: Currently, you can only sign up as an individual person, not as an existing corporate entity.

Step 2: Configure Your Account & Activate Your Partnership

Once your initial profile is created, you will move on to configuration, which unlocks the core functionality of the platform:

  • Contact & Identity Verification: You will need to fill out your contact details and complete your identity verification. We need to verify exactly who you are so we can safely establish your partnership agreement.

  • The Partnership Concept: In GloPay, a partnership is a legal framework established between you and our corporate entity in Estonia. You deliver the professional services, and GloPay handles the administrative paperwork behind the scenes. You will review and accept the standard partnership agreement and the accompanying sales agreement (which allows us to invoice your client). Please note that these standard compliance agreements cannot be customized at this time. If you have separate specific deliverable agreements with your client, those must be handled outside of the GloPay platform.

  • Connect Your Bank Accounts: You can add one or multiple personal bank accounts to your profile, but they must belong exclusively to you. For each account, you will select a single base currency for all withdrawals. Be sure to choose a base currency that your receiving bank account can natively accept to avoid unexpected bank rejection fees.

Step 3: Add Your First Customer

Before you can draft any payment requests, you must have an approved customer profile inside your dashboard.

  • Gather accurate business details: Talk to your client ahead of time and collect their official business name, corporate address, registration number, and VAT number (if applicable). Remember, you can only issue invoices to registered, active business entities.

  • Assign a contact person: Add the specific contact email for the person on the client side who handles accounting or project approvals. Make absolutely sure this email address is correct.

  • Choose the invoice currency: Confirm with your customer which currency they prefer to be billed in. You will select this currency from the available options in the customer configuration view.

  • Compliance review: Once you save the form, GloPay will automatically run a compliance check on the company details. This process usually takes just a few minutes, and you will receive an email confirmation as soon as the client is approved. Don’t worry—GloPay will not send any automated emails to your client during this setup stage; they will only hear from us when you officially send them an invoice.

Step 4: Invoicing Basics

With your verified profile, linked bank account, and approved customer ready to go, you are officially cleared to create an invoice.

  • Select your customer: Open the invoice builder and select your approved client to generate a draft.

  • Verify the currency: Double-check that your invoicing currency matches what your client expects.

  • Add line items for Professional Services: Populate your invoice with your milestones. Please keep in mind that you can only sell Professional Services (as defined by Estonian legal and compliance frameworks) through GloPay.

  • Hours vs. Pieces: You can choose to bill your client by Hours or by Pieces. Utilizing “Pieces” is perfect for project-based deliverables where you want to invoice a flat amount for a finished milestone—such as “Developed feature X”—without explicitly tracking or breaking down the hours you spent working on it.
