Here is a straightforward guide on how to add customers to your dashboard and ensure your client-facing records are perfectly compliant.
Why Accurate Customer Profiles Matter for B2B
When you enter a customer’s information into GloPay, our system uses these exact details to dynamically generate your Service Agreements and commercial invoices.
Because your invoices act as a formal B2B financial vehicle, your client’s corporate accounting department will require their legal billing data to be exact. Taking a few seconds to double-check their legal entity name and corporate registration data during this step ensures their internal systems will approve your invoice for payment with zero administrative delays.
Step-by-Step: Adding a Customer to Your Dashboard
Adding a new client is designed to be simple and takes less than two minutes. Once your account onboarding is complete, navigate to your sidebar and follow these steps:
-
1. Open the Add Customer View: Log into your platform dashboard, look at the main navigation sidebar on the left, and click on Customers. From there, click the Add Customer button in the upper right corner to open the input form.
-
2. Select the Customer Type: Choose whether your client is an Organization/Company or a Private Individual. Note: If you are invoicing a mid-sized or enterprise business, always select Organization to unlock the corporate tax and registration fields.
-
3. Enter Corporate and Contact Information: Fill in the client’s formal billing parameters. You will need to input the Legal Company Name, their official Company Registration Number, and their Corporate Address (Street, City, Zip Code, and Country).
-
4. Add the Billing Email and Contact Person: Input the specific name and email address of your primary contact person. This email address is highly important: it is where GloPay will securely route the project link for their digital review and electronic contract approval.
-
5. Save and Verify: Review the information to verify that it matches your client’s official corporate billing requirements, then click Save. The profile is now permanently logged into your dashboard.
Important: What to Avoid When Saving Client Info
To prevent your invoices or project agreements from getting flagged during our compliance checks, keep these minor details in mind:
-
Skip the Placeholders: Do not use temporary nicknames or abbreviations for corporate clients. If a company’s legal name ends in “Inc.” or “Ltd.”, make sure to include it exactly as it appears on their official tax registries.
-
The Right Email Destination: Avoid using generic contact forms or public email aliases if possible. Instead, use the precise email of the manager or accounts payable officer responsible for signing off on your project deliverables.
-
A Completely Private Ledger: Your customer list is strictly confidential. Your clients will never see your other listed customers, and they are only notified when you actively assign a new project or invoice directly to their specific email address.
Ready to bill? Once your client’s profile is saved in your system, they will automatically appear as an option in your dropdown menu when you go to generate a new invoice. You can edit their address, update their contact email, or review your historical project logs with them at any time by clicking their name inside your Customers tab.
